Working with factories / Buyer guides
How do I communicate with my bag factory?
Send a complete brief with material and hardware references, give numbered feedback with measurements and close up photos on every sample, and approve a pre production sample made with the bulk leather or fabric and hardware before production begins.

Related guides
1. Brief before the first call
Send the RFQ, design files, material swatches or references and hardware photos. Physical swatches of leather or hardware finish avoid misunderstandings over colour and texture.
2. Give sample feedback
Measure dimensions, strap drop and handle length against the spec. Photograph stitching, edge paint, hardware alignment and logo placement close up. Number every comment and reference the tech pack.
3. Keep revision rounds to a minimum
Consolidate comments into one list per round. Separate corrections from new design ideas. Approve materials and hardware early so later rounds focus only on construction.
4. Approve the PP sample
The PP sample uses bulk material, lining and hardware. Approve online from detailed photos and measurements when changes are minor, or ship it when material feel, colour or structure must be judged in hand.
5. Confirm in writing before bulk
Approved PP sample, quantities per colour, unit price, Incoterm, delivery date, logo method, packaging and inspection standard.
6. Quality inspection and AQL
An inspector checks a random sample of finished bags for stitching, edge finishing, hardware function, material defects and dimensions. The batch passes when defects stay within the agreed AQL limit.
7. Report defects and resolve disputes
Send photos, quantities affected and the specification point not met. Compare with the approved PP sample and agree the fix in writing.
8. Read the timeline
Material and hardware sourcing can drive the timeline for bags. Innovtex mass production runs 25 to 30 days, plus about 10 days for DDP delivery, customs cleared.
Communication checklist
What to send at each stage.
| What to include | Why the factory needs it |
|---|---|
| Material and hardware references | Avoids colour and finish disputes |
| Measured, numbered comments | Makes corrections precise |
| Close up photos | Shows stitching and edge issues clearly |
| Written PP approval | Bulk reference |
| Agreed AQL level | Defines pass or fail |
Common mistakes that delay quotes
Approving colour from a screen. Changing hardware after material is ordered. Vague comments like "stitching looks off". Not defining which defects are critical.
Questions before you choose
How do I give feedback on a bag sample?
Measure against the spec, photograph each issue close up and send numbered comments referenced to the tech pack.
Should I approve leather colour online?
Screens distort colour. Approve from a physical swatch or sample when colour matters.
What does AQL inspection check on bags?
Stitching, edge finishing, hardware function, material defects and dimensions on a random sample of finished goods.
What must be confirmed before bulk?
Approved PP sample, quantities per colour, price, Incoterm, delivery date, logo method, packaging and inspection standard.
How long is Innovtex mass production?
25 to 30 days, plus about 10 days for DDP delivery, customs cleared.
